This guide is the playbook we wish someone had handed us the first time we tried — covering venues, prices, payments, and the small decisions that decide whether your team remembers the day fondly or files it under "never again."

Decide the format first, not the venue

Most corporate sports days fail because someone picked a venue before deciding the format. Reverse the order.

Pick one of these four formats and stick to it:

• Single-sport tournament — one sport, brackets, prize. Cricket and futsal work best for 20-60 people.
• Sports day mix — 3-4 sports rotated through stations. Better for non-athletic teams.
• Friendly + food — one match, generous time for chai and momos after. Underrated.
• Inter-department league — multiple weeks, fewer people per session. Higher engagement.

Each format has a different venue footprint, time block, and cost. Decide first.

What corporate bookings cost in 2026

These are the realistic ranges in Kathmandu and Lalitpur. Prices vary by neighborhood, equipment quality, and whether you book through a venue directly or via a platform. As of 2026:

• Futsal turf (5-a-side, 1 hour, peak): Rs. 1,400-2,200/hr
• Futsal turf, off-peak (weekday afternoon): Rs. 800-1,400/hr
• Cricket ground (half-day, 4 hours): Rs. 8,000-18,000 depending on facilities
• Box cricket (1 hour): Rs. 1,500-3,500/hr
• Badminton court (1 hour): Rs. 400-900/hr
• Basketball court (1 hour): Rs. 800-1,800/hr

For a 40-person event running 4-5 hours with two sports, budget Rs. 25,000-60,000 total venue cost. Add Rs. 200-400 per person for food and water if the venue doesn't include catering.

The hidden costs to budget for

Quoted price is not final price. Build these into your number before pitching it to finance:

• Lights — outdoor venues add Rs. 200-500/hr after sunset
• Equipment hire — bibs, balls, bats, stumps if your office doesn't own them
• Refreshments — water for 40 people is more than you think (one 1L bottle per 4 people minimum)
• First aid — bring your own kit; most venues don't provide one
• Trophy/prizes — Rs. 1,500-5,000 if you want photo-worthy ones
• Photographer — Rs. 5,000-15,000 for a half-day shoot; or designate a coworker

Payment: how corporate bookings actually settle

Most Kathmandu venues accept cash, eSewa, Khalti, and bank transfer. Cards are spotty. For a corporate booking, you have three realistic options:

1. Personal payment + reimbursement — fast, but you eat the float for 2-4 weeks
2. Company card — clean, but only works if your venue has card acceptance and you've cleared it with finance
3. Invoice + bank transfer — what most venues prefer for amounts above Rs. 15,000

Always ask for a PAN-bill if your company will reimburse. Quietly confirm the venue can issue one before booking — not every small operator can.

Booking lead time

These are realistic lead times for the Kathmandu Valley as of 2026:

• Weeknight futsal slot: 3-5 days
• Saturday morning cricket ground: 2-3 weeks
• Half-day venue takeover: 3-4 weeks minimum
• Anything in October-November (wedding/festival season clash): 4-6 weeks

If your event date is locked, start booking now. If your venue is locked, the date is negotiable.

Reduce group drama with three rules

Forty colleagues in a group chat is a recipe for noise. Three rules cut the drama:

1. One organizer, one decision — you. Don't crowdsource the venue.
2. Polls only for date and sport — never venue or budget.
3. Confirmed list closes 72 hours before — anyone who confirms after that pays the no-show fee themselves.

Weather and monsoon planning

If your event is between June and September, assume one rain day in your buffer. Indoor venues book out faster during monsoon, so either:

• Book indoor primary (badminton hall, indoor futsal, gym)
• Or book outdoor with a free reschedule clause in writing

A surprise downpour is the most common reason corporate sports days collapse. Plan for it.

Sports that actually work for mixed-skill teams

Not every sport survives a team where half the office has never played. From experience:

• Works great: badminton, box cricket, dodgeball, cornhole-style station games
• Works with prep: futsal (rotate teams every 10 min), basketball
• Avoid for first-timers: full-format cricket (too long), tennis (skill gap is brutal)
